Do previous versions of Word have the same file format as Word 2000?

Microsoft Word 2000 has the same file format as Word 98 and Word 97, but it has a few enhancements because of the new features included in Word 2000. The Word 97-2000 format is different from the file format used in Word 95 and Word 6.0. Can users share templates with previous versions of Word?

You can share macros and templates with users of other versions of Word. However, the templates included with Word 2000 take advantage of the new and enhanced features in the application. The unique features in Word 2000 are lost when a template is saved in a previous format such as Word 97 or Word 95 format. How can I prevent users from saving documents in an unapproved format?

You cannot prevent users from saving documents in an unapproved format, but you can:

• Set a system policy with the System Policy Editor, and create a custom message to alert users when they try to save a file that is not the default format in the system policy.
• Set a default file format with the Options dialog box (Tools menu).
• Limit the number of text converters that you distribute to users.

Why does text look different when a user saves a Word 2000 document in Web Page format?

For text and font formatting to display correctly, users must upgrade to Microsoft Internet Explorer version 4.0 or later and use cascading style sheets.

To use cascading style sheets

1. On the Tools menu, click Options, and then click the General tab.
2. Click Web Options.
3. Select the Rely on CSS for font formatting checkbox.

Where can users get graphics filters not included in Word 2000?

Word 2000 includes most of the graphics filters that users need to open and save images. The following graphics filters are included in the Microsoft Office Converter Pack.

• AutoCAD (Dxfimp32.flt)
• Micrografx Designer/Draw (Drwimp32.flt)
• Targa (Tgaimp32.flt)

How can Word 95 users open documents saved in HTML format and Word 2000 format?

Before Word 95 users can open HTML and Word 97-2000 documents, they must install the HTML converter and Word 97-2000 converter included in the Microsoft Office Converter Pack.

Why does Word 2000 prompt for a converter when a user tries to open a file from another application?

Word 2000 users might have changed a default option in the Options dialog box.

To have Word select the correct converter

1. On the Tools menu, click Options.
2. On the General tab, clear the Confirm conversion at Open check box.

Why do the graphics disappear in a converted document?

Graphics seem to disappear in a converted document when the graphics display feature is turned off or when the graphics filters needed to import the images are not installed.

To turn on the graphics display feature

1. On the Tools menu, click Options.
2. On the View tab, clear the Picture placeholders check box.

To view the list of installed graphics filters, point to Picture (Insert menu), and then click From File. The Files of type box lists the graphics filters installed.

Most of the graphic filters that users need are included with Office 2000, but additional graphics filters are included in the Microsoft Office Converter Pack.

Why are the fonts different in the converted document?

Word 2000 substitutes fonts that are not installed on a user’s computer.

To customize the substitution of fonts

1. On the Tools menu, click Options.
2. On the Compatibility tab, click Font Substitution.
3. In the Missing document font box, click the font you want to replace.
4. In the Substituted font box, click the font you want to use.

Why are line breaks and page breaks different in the converted document?

Line breaks and page breaks in Word 2000 are treated differently from those in other versions of Word and other applications.

To customize the display for a converted document

1. On the Tools menu, click Options, and then click on the Compatibility tab.
2. In the Recommended options for box, click Custom.
3. In the Options box, select the check boxes you want.

Note   The document is not permanently changed. The selected options only affect how Word displays the document while you are working with it in Word.

Can Word 2000 users run macros created in other versions of Word?

WordBasic macros created in Word 95 and Word 6.0 and Visual Basic for Applications (VBA) version 5.0 macros created in Word 97 run in Word 2000. For more information, see Sharing Macros and Templates with Previous Versions of Word.

Why can’t users of previous versions of Word view macros in some Word 2000 documents?

The macros might have been digitally signed from within the Visual Basic Editor in Word 2000. This new security feature is not included in other versions of Word. Users of other versions of Word can run — but not modify — the macros.

Why can’t users run a macro or load an add-in in a document?

If the security level for Word 2000 is set to High, and users open a document or load an add-in that contains unsigned macros, then the macros are disabled and users cannot run them. Users can enable macros that are not digitally signed by changing the security level to Medium in the Security dialog box (Tools menu, Macro submenu), closing the document or unloading the add-in, and then opening the document or loading the add-in again.

Note   Remember to change the security level back to High if you want Word 2000 to automatically disable unsigned macros in the future.

If the security level for Word is set to Medium or High and you chose to disable macros because you do not trust the source of the macros, you cannot run the macros. To run the macros, close the document or unload the add-in, and then open the document or load the add-in again. Then click Enable Macros.

What can Word 2000 users do if a file does not convert properly?

If a file is not converted correctly, Word 2000 users can close the file without saving it, and then open it again using a different text converter. For a list of text converters, see Working with Word 2000 Text Converters and Graphics Filters.
